Sr Administrative Coordinator

This role is based in Barcelona, with an on-site commitment of three days a week. Fluency in English is required.

As a Sr Administrative Coordinator, you'll provide essential support to senior managers and departments, ensuring smooth operations and efficiency. Your role will involve organizing meetings, maintaining documentation, and establishing systems for day-to-day functions. You may also supervise others and allocate resources as needed. Accountabilities

- Arrange multi-location domestic and international travel arrangements and expense reports with accuracy and efficiency, including follow-through to ensure that appropriate and timely action is taken. Monitor VISA’s and Passport expirations to ensure they are current.
- Track and manage functional expenses, budget, and CO2 ensuring accuracy and timely reporting.
- Assist with administrative and logistical aspects related to recruitment of new employees (schedules interviews, coordinates on-boarding of new staff).
- Coordinate larger internal and external meetings/Broadcasts, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available.
- Maintain department SPOL site.
- Maintain awareness of new systems with potential impact on administrative work and develop personal expertise in new systems.
- Effectively manage special projects and other duties as assigned.
- Work with leaders to help prioritize work and realize efficiencies within the team.
- Facilitate work through contracting routes, to enable rapid SOW creation and project initiation along with purchase order creation, invoice resolution, and other financial administration.
- Plan site-specific and virtual engagement events for the team.
- Respond on behalf of the team to different partners while maintaining high professional standards and meeting conflicting needs. Handle more intensified or raised inquiries from other PA/administrative staff.

Essential Skills/Experience

- HS Diploma or GED
- 5 plus years prior Personal Assistant experience or experience supporting high-level executives within a global organization
- Good communication skills. Ability to build relationships/network across peer group and key stakeholders in a manner that improves work output and enhances the reputation of the team
- Demonstrated ability to effectively work in a global environment.
- Able to prioritize time-sensitive assignments.
- Should be able to work autonomously, and at the same time, collaborate effectively with other members of the administrative support team.
- Advanced proficiency in Microsoft Office and other web-based systems such as SPOL
- Flexible to adapt to ever-changing needs and deadlines.
- Able to effectively work in a fast-paced environment while maintaining confidentiality and discretion.
- Ability to demonstrate tact, persuasion, and/or negotiation and maintain confidentiality.
- Must demonstrate high integrity

Desirable Skills/Experience

- Bachelor’s degree
- Experience in a pharmaceutical or biotechnology firm
